Our policy regarding protection of personal information
NEC Logistics, Ltd. (hereinafter, the “Company”) provides customers with optimal logistics solutions ranging from procurement to sales and collection, based on the following six pillars: consulting services, logistics services in Japan, global logistics, information technology, packing solutions, and environmental solutions.
The Company’s services start with consulting services that analyze the customer’s current situation from an overall optimization point of view, and propose optimal logistics systems.
We will realize the optimization of the entire supply chain in concert with our customers by making full use of the NEC Group’s SCM knowledge and nationwide shipping and delivery networks as well as the IT abilities that support them.
In this context, the Company considers protecting personal information in an appropriate manner to be a social responsibility of the Company, and establishes, implements, and maintains the personal information protection policy described below.

The Company considers protecting personal information in an appropriate manner as a social responsibility of the Company, and follows the below-listed commitments.
- The Company appoints a person in charge of protecting personal information for each department that handles personal information according to the Company’s organizational structure, and acquires, uses and provides personal information in an appropriate manner in compliance with the Japanese Industrial Standards (JISQ15001:2006 “Personal information protection management system-requirements”). In particular, the Company implements appropriate measures to prevent handling of personal information that exceeds the scope that is necessary to achieve specified usage purposes.
- The Company complies with all laws and regulations, and guidelines and other rules established by the government regarding the handling of personal information.
- The Company strives for the prevention and correction of any divulgence, loss of or damage to personal information handled by the Company by implementing necessary and appropriate security measures.
- The Company accepts complaints and consultations from the subjects of personal information regarding the handling of personal information and the Company’s personal information protection management system, and responds to them in an appropriate manner. Any complaints and consultations should be directed to the predesignated contact points within the Company.
- The Company strives for the ongoing improvement of the Company’s personal information protection management system including this policy.

1 Disclosure of usage purposes of personal information
Usage purposes of personal information acquired by the Company are disclosed as follows.
A. Personal information on customers
- For sending invitations to events such as seminars and exhibitions
- For providing logistics services (such as consulting, shipping, packaging, loading, storage, distribution, processing, information services)
- For providing global logistics services (such as exports and imports, customs clearance)
- For proposing and selling logistics services and products
- For making referrals to the contacts of logistics services and products
- For research and analysis to improve logistics services and product development
- For providing maintenance and support related to logistics services
- For performing negotiations and executing contracts with customers
Handling of personal information may be consigned to the Company’s clients and subsidiaries including affiliated companies and contractors within the scope necessary for achieving the purposes mentioned above.
B. Personal information on our clients and partners

- For cooperating with clients and partners
Handling of personal information may be consigned to the Company’s clients and subsidiaries including affiliated companies and contractors within the scope necessary for achieving the purposes mentioned above.

2 Disclosure of disclosable personal information
Disclosable personal information held by the Company shall be made available to the subject of personal information as follows.

The following procedures are established for requests regarding disclosure, deletion and correction, and suspension of usage, etc. by the subject of disclosable personal information or the proxy of such a subject.
(1)Method for requesting disclosure (format of forms to be submitted, and confirmation whether the requester is the subject or subject’s proxy of personal information)

A request for disclosure, etc. may be made by the subject of personal information as well as the subject’s proxy. If a proxy is making such a request, enclose the required documents shown in(

If any of the submitted documents are incomplete, they may be returned to you, so please check the enclosed documents well before mailing them.

If you cannot download a required form, please call the Personal Information Protection General Contact listed below. The forms will be mailed out to you. Only the information that you enter in the application forms will be used.
Documents for personal identification
a. Procedural documents for personal identification <for individual requesters>
- When the person who makes a request of disclosure, etc. is an individual (one copy of each document below is required)
- One copy of your driving license, health insurance certificate, passport, alien registration card or Juki card that has the identical name and address as those entered on the application forms for disclosure, etc. (Before sending the document, black out information regarding your registered domicile.)
- In addition to the above, one certified copy of your certificate of residence (no photocopies) or certificate of alien registration (no photocopies)
Example: One copy of your driving license and one certified copy of your certificate of residence
One copy of your Juki card and one certified copy of your certificate of residence
b. Procedural documents for personal identification <for individual requesters within an organization such as a company>
- When the person who makes a request of disclosure, etc. is an individual within an organization such as a company
One copy of your certificate of employment or certificate of enrollment
Procedural documents for personal identification of a proxy who has been entrusted by the subject of personal information
a. When the proxy is a person with parental authority or is a legal guardian of the subject of personal information
- One copy of your family register, extract of family register, certificate from a family court, or certificate on registered information that proves the proxy’s qualifications

If any of the submitted documents are incomplete or if any questions arise, we will contact you. However, if we do not receive your reply within a designated time period, we will deem that the request for disclosure, etc. has been cancelled, and return the submitted documents.
(2)Mailing fees and their collection method regarding requests for disclosure or notification of usage purposes
If you are making a request for disclosure or notification of usage purposes, please enclose return postage for the amount as stipulated below.
Our reply will be sent via registered mail.
540 yen per application
Please enclose postage stamps to the value of 540 yen with the application forms (as of January 2008).
If the amount of the enclosed return postage falls short or if they are not enclosed, we will contact you. However, if we do not receive your payment within a designated time period, we will deem that the request for disclosure, etc. has been cancelled, and return the submitted documents.
We may require a fee depending on the content of the request for disclosure, etc. In such cases, we will present an estimate in advance.
Other cautions related to the request of disclosure, etc.
- Information may not be disclosed if the designated application forms are incomplete or when exempted under the Act on the Protection of Personal Information.
- Personal information acquired based on a request for disclosure, etc. shall be handled within the scope necessary for responding to such a request for disclosure, etc. Documents submitted making a request for disclosure, etc. will not be returned.
- Our reply will be sent in writing to the address (only in Japan) of the subject of personal information (or the proxy) listed on the application form.
- Replying to certain requests may require some time depending on their content.
- Even if the relevant disclosable personal information is erased based on a request for erasure of disclosable personal information, the application form for such a request for erasure of disclosable personal information, personal identification documents and a copy of our reply will be stored.
- Please note in advance that, as a result of a request for suspension of usage of disclosable personal information or suspension of provision of disclosable personal information to third parties, services related to such disclosable personal information will become unavailable.

Requests for disclosure, etc. should be made to the relevant contact which was specified at the time you applied for our services.
If the relevant contact is unknown, please enclose the required documents above and mail them to the General Contact in the case of (1) or Personnel Group of General Affairs Division in the case of (2) below.
Please note that the requests for disclosure, etc. sent via methods other than postal mail will not be accepted.
